CCTV Protection Policy
The images obtained from the system which include recognisable
individuals are personal data and are covered by the applicable Data Protection
legislation.
This Policy should therefore be read in conjunction with the Fraserburgh
Fitness Centre Data and Privacy Protection Policy available either on hard copy
on request, or, by emailing shane@fraserburghfitness.com
2. CCTV systems are operated throughout Fraserburgh Fitness
Centre Group sites, monitoring dedicated areas defined by a CCTV layout
proposal and following a safety and security standard.
3. Use of a surveillance camera system must always be for a
specified purpose which is in pursuit of a legitimate aim and necessary to meet
an identified pressing need. This includes giving confidence to staff and
visitors that they are in a safe and secure environment, protecting the
integrity of the site by deterring criminals and to provide evidence to assist
with the detection and prosecution of criminal offences.
4. When deciding to use CCTV in a certain area Fraserburgh
Fitness Centre Group must consider its effect on individuals and their privacy
and perform regular reviews to ensure its use remains justified.
5. Fraserburgh Fitness Centre Group will be transparent in the
use of a surveillance camera system, provide a CCTV notice, which could be an
image, and publicise a contact point on the website for access to information
and complaints in line with our Data and Privacy Protection Policy.
6. Fraserburgh Fitness Centre Group is the Data Controller for
the Personal Data captured by our CCTV systems. Some shared sites require that
we use both, our systems in local areas and landlord’s systems in extended
areas.
7. The CCTV systems which are under Fraserburgh Fitness Centre
Group’s control are managed by Senior Management and operated by a CCTV team.
The recordings are confidential and available only to those directly connected
with operating the system. Copies of recorded information are strictly
controlled and only made in relation to incidents under specific restrictions
and require the approval described in point 10.
8. The Senior Management Team will produce and communicate clear
rules and procedures with regards to operating, processing and releasing CCTV images.
9. No more images and information should be stored than that
which is strictly required for the stated purpose of a surveillance camera
system, and such images and information should be deleted once their purposes
have been discharged.
10. Access to retained images and information should be referred
to shane@fraserburghfitness.com and
there must be clearly defined rules on who can gain access and for what purpose
such access is granted; the disclosure of images and information should only
take place when it is necessary for such a purpose or for law enforcement
purposes.
11. CCTV operators should be trained to an adequate standard and
such standard must always be maintained.
12. Surveillance camera system images and information should be
subject to appropriate security measures to safeguard against unauthorised
access and use.
13. There should be effective and periodic review mechanisms to
ensure legal requirements, policies and standards are complied with in practice
and to ensure that the system is working properly and produces the required
images.

When using our gyms CCTV is being recorded 24 hours a day and
actively monitored 24hrs per day. CCTV is permanently erased after 31 days.
We may also collect, match or acquire information about you from
other organisations such as Google and Facebook.

The information we collect is required for the purpose of
creating your Member Account and for you to enrol in our gym. Such information
allows you to be identified as a member of Fraserburgh Fitness Centre and

We will use your personal
information to provide you with the services, products or information that you
have requested, for administration purposes, to improve your website
experience, and marketing. We may need to share your information with our
service providers, associated organisations and agents for these

We’ll store your information for as long as you are a Member of
Fraserburgh Fitness Centre, or following cancellation and to meet legal
requirements including financial audit, anti-fraud and money laundering
regulations.
We will store your information for no more than 6 years from the
last activity on the account. An ‘activity’ can be classified as access to the gym,
class, or, sunbeds, a payment made on the membership account or a comment added
to the membership following contact with Fraserburgh Fitness Centre. We may

you haven’t opted out of receiving marketing communications from us.
OPT OUT
Fraserburgh Fitness Centre will only send you information
relating to your membership. We will not share your data with any 3rd parties

If you cancel your membership with Fraserburgh Fitness Centre we
will only send you information that we think will be of interest to you.

Covid-19 Track
& Trace - To help prevent the spread of infection around the UK we
will support the NHS Track & Trace system. If requested by the NHS to
provide visitor information, due to an outbreak in the vicinity of our
gym, we will supply your name, mobile and time of arrival and departure
for members who had recently visited the specific site. This is voluntary
and you are able to request to have your data excluded. Please email us
at shane@fraserburghfitness.com with you name
and PIN number and we will not pass your details on.
We’ll release information if it’s reasonable for
the purpose of protecting us against fraud, defending our rights or property,
or to protect the interests of our customers.
If we’re reorganised or sold to another organisation, we may
transfer any personal information we hold about you to that organisation. We
will inform you if we intend to do so.

Fraserburgh Fitness Centre collects data of children due to the
nature of the Martial Arts instruction provided, All information is provided
voluntarily by the Child’s parent or Guardian and is not used for any other
purpose than ensuring the wellbeing and safety of our students.

Refunds Policy
Fraserburgh Fitness Centre Refunds Policy
At Fraserburgh Fitness Centre, we are committed to providing excellent services and products to our members. This refunds policy outlines the terms and conditions regarding refunds for memberships, sunbed blocks, classes, and merchandise.
1. Gym Memberships and Class Memberships
- We operate a strict no refunds policy on gym memberships. no swapping or trading of memberships is allowed either.
2. Sunbed Blocks
- Sunbed are non-refundable. if you unlawfully book a sunbed or block and visit the centre for our staff you are not of legal age to do so you will be denied entry to the sunbeds with no refund.
- Expiry Policy: Sunbed blocks are valid for a 6 month period.
3. Merchandise
- Merchandise is non-refundable, however, if we have the stock on site to do so we may swap it with an alternative size at managements discretion.
4. Classes
- Class Cancellations by Clients* No refunds will be given for classes if the client cancels unless strenuous circumstances have caused them to do so. Clients may transfer to another class if cancellation is made at least 24 hours in advance.
-Class Cancellations by Fraserburgh Fitness Centre: If a class is cancelled by us, clients will be offered a refund or the option to transfer to another session.
5. Faulty or Incorrect Items/Services
